The change

The work that shouldn't be manual

None of this is a technology problem. It's a plumbing problem.

Before

  • One client detail, typed into three systems
  • Quarter-end fee runs that take four days
  • Meeting notes that never reach the CRM
  • Onboarding that lives in someone's head
  • Licences renewing for seats nobody opens

After

  • Typed once, in step everywhere
  • Quarter-end in hours, not days
  • Notes filed before you leave the call
  • Onboarding that runs itself
  • Only the seats you use
Our method

The PortfolioAI 4-System Teardown™

Others ask how your process works. We follow one client record and watch where it breaks.

  1. 01CRM
  2. CRM → Portfolio

An address updated in one place, still stale in the other three.

  3. 02Portfolio
  4. Portfolio → Planning

One field won't map, so the quarterly pack gets rebuilt by hand.

  5. 03Planning
  6. Planning → Billing

A fee schedule living in a spreadsheet the billing tool can't express.

  7. 04Billing

It's the same short list in almost every firm. We'll name most of yours in ten minutes. The call is about what's worth fixing first. At $75 a loaded hour, 10 hours a month back is about $9,000 a year.

Then we fix them

  1. 1 Audit

    Every field, workflow and seat.

  2. 2 Optimize

    Duplicates merged, dead fields retired.

  3. 3 Integrate

One change lands in all four systems.

  4. 4 Automate

Onboarding, notes and review prep, hands-off.

  5. 5 Support

    We stay on after go-live.

Where no vendor tool fits, we build one. On compliance we build the workflow; your CCO owns the policy. We give no regulatory advice.

  • 4-System Teardown: where your systems overlap and leak
  • Hours-Back Estimate: hours removed, annualised

  • AI Fit Assessment: what AI should touch, and shouldn't
  • 90-Day Sequence: what to fix first, second, third

Our guarantee. If we can't find 10 hours a month worth removing, we'll say so on the call and send you the map anyway. No pitch, and no follow-up sequence.

We're new, and we won't paper over it with invented testimonials. We publish the method in full, name every system we work in, and state our price. On the call you'll get findings specific to your stack in the first ten minutes.

Security & accuracy

Nothing reaches a client without you

With high-net-worth clients a mistake is expensive, so a tool that is nearly right is worse than no tool. Two rules follow.

You approve everything client-facing

Everything is drafted and queued for your review. Nothing is sent on your behalf, ever, and every figure links back to its source.

Your data stays in your systems

We work inside your environment, under your controls, with least-privilege access that ends when the engagement does.

The full detail: access, encryption, retention, vendors
Access controls
Named individuals only, scoped to the engagement.
Authentication
Your identity provider and MFA. Never shared logins.
Encryption
TLS in transit; platform encryption at rest.
Integrations
Documented vendor APIs, minimum permissions. No scraping.
Data retention
Notes and configuration, not client data. Deleted on request.
Vendor access
Every third-party tool named and agreed in writing first.
Sequencing
Internal workflows first, where a mistake is cheap.

We hold no SOC 2, ISO 27001 or other certification, and we won't imply otherwise. If your firm requires one, say so on the call.

Why we can do this

We build this software ourselves

We didn't arrive at RIA plumbing from a consulting deck. We built our own AI-native CRM for RIAs, so records, notes and follow-up that keep themselves current is work we have already shipped, not a theory we will test on your firm.

Questions

Before you book

Do you replace our existing CRM?

Usually not. Most engagements make the CRM you already own work properly. We only suggest a change when the current tool genuinely can't do the job, and we'll show you why.

Which platforms do you work in?

Redtail, Wealthbox, Salesforce, Practifi, Orion, Addepar, Black Diamond, Tamarac, eMoney, MoneyGuidePro, RightCapital, AdvicePay. Anything else with a documented API works too.

How much does it cost?

The audit is free. Paid work starts at $9,500 for one workflow, fixed price, 30 days. Most first engagements land between $9,500 and $35,000. No hourly billing.

What if the implementation doesn't work?

We agree what “working” means in writing first. If the first workflow isn't live within 30 days, you don't pay for that month.

How do you handle client data?

It stays in your systems, under your controls. Nothing client-identifying needs to leave your environment for an audit.

Do you work with smaller firms?

Our range is roughly $50M to $300M AUM. Below that the savings rarely cover the work, and we'll say so.

Can I see your CRM instead?

It opens to a few firms at a time and there's a list: join the waiting list. Most firms are better served by the teardown first, because it usually turns out the CRM you own can do the job once it's plumbed properly.
